Privacy Policy

This Privacy Policy explains how Lode CRM handles personal information when you use our app, websites, and related services. In short: your working data is designed to stay on your device, and we only use limited information when needed to provide AI-assisted features or subscription functionality.

Important summary. Lode CRM is built around local-first usage. Customer notes, recordings, transcripts, extracted CRM records, tasks, and follow-up context are generally stored on your device. When an AI-powered task is triggered by you or automatically by the app under defined conditions, the app sends only the minimum necessary context to Lode CRM's server-side processing flow, which may route the request to a contracted third-party AI provider when needed to complete that task.

1. Scope of This Policy

This Privacy Policy applies to the Lode CRM mobile app, websites, support communications, and related services we provide (collectively, the "Services").

By using the Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Services.

2. Information We Process

2.1 Information you create and store in the app

Depending on how you use Lode CRM, the app may process the following categories of information:

  • customer and contact information, such as names, company names, phone numbers, notes, and relationship details;
  • recordings, transcripts, summaries, extracted CRM data, deals, tasks, reminders, and follow-up history;
  • information you type, dictate, attach, or otherwise enter into the app in order to manage your customer workflows.

2.2 AI processing context

When an AI-assisted task is triggered by you or automatically by the app under predefined product logic, Lode CRM may send selected content and limited context to our server so the requested feature can work. This may include portions of transcripts, structured notes, or related context required to generate a result.

We aim to send only the context necessary for the current AI task. We do not intentionally transmit your entire device database for a single request, and our server may route that limited task context to a third-party AI provider only when needed to fulfill the request.

2.3 Subscription and transaction information

If you subscribe through Apple App Store or Google Play, the transaction is handled by the platform provider. We may receive limited subscription status information, such as whether your subscription or trial is active, in order to unlock paid features.

2.4 Technical information

We may process limited technical information necessary to operate the Services, such as app settings, language preferences, product status, crash signals, and operational logs. We use this type of information to maintain, secure, and improve the app.

3. How We Use Information

We use information for the following purposes:

  • to provide the core CRM features of the app, including local storage and organization of customer work;
  • to perform AI-powered processing that is triggered by you or automatically initiated by app logic for relevant tasks;
  • to enable subscription access, restore purchases, and confirm premium status;
  • to maintain security, diagnose service issues, and improve product quality;
  • to communicate with you when you contact support or submit a legal or privacy request.

4. Local-First Data Storage

Lode CRM is designed around local-first storage. In normal use, your CRM records, recordings, transcripts, tasks, and customer context are stored on your own device rather than on Lode CRM's servers.

Because of this architecture, you are responsible for managing the security of your device, including screen lock, backups, and any shared-device risks. If you delete the app or erase local data, some or all of your stored information may be permanently lost unless you have your own backup.

5. Third-Party Processing and Service Providers

We may rely on third-party providers to support certain parts of the Services, including AI processing, subscription management, analytics, app distribution, crash reporting, hosting, email, and security tooling.

These providers may process data on our behalf only as needed to provide their services. Examples include:

  • AI service providers used to process relevant AI tasks routed through Lode CRM's server-side processing flow;
  • Apple App Store and Google Play for subscriptions and related transaction status;
  • infrastructure and communications providers supporting support, delivery, and reliability.

We do not sell your personal information. We do not use your local CRM database as a general-purpose data warehouse on our servers.

Where we use third-party AI providers, we intend to use providers operating under contractual terms that prohibit use of submitted customer content for model training and require deletion after processing, subject to the provider's applicable legal and safety obligations.

6. Data Retention

Because most app content remains on your device, retention of that content is primarily controlled by you.

For AI requests handled through our service flow, we aim not to retain user content on our own servers beyond what is needed to complete the request, maintain service integrity, satisfy legal obligations, or resolve abuse and security incidents. In general, we intend for request content handled by our servers to reside in processing memory only and to be discarded promptly after processing completes, unless a shorter or longer retention period is required for safety, debugging, or law.

When a request is routed to a third-party AI provider, we intend to use providers whose service terms state that submitted content is deleted after processing and not used to train their general models, subject to their contractual commitments and applicable law.

8. International Transfers

Some third-party service providers we use may process data in countries other than your own. When cross-border processing occurs, we seek to use appropriate safeguards required by applicable law.

9. Your Privacy Rights

Depending on your location, you may have rights to request access to, correction of, deletion of, restriction of, or portability of certain personal information, or to object to certain processing.

Because Lode CRM is primarily local-first and does not currently require a Lode CRM account, the most direct way to control much of your data may be through your own device and app settings. You may also contact us at Contact Support for privacy-related requests.

10. Security

We use reasonable administrative, technical, and organizational measures intended to protect information processed through the Services. However, no method of storage, processing, or transmission is completely secure, and we cannot guarantee absolute security.

11. Adults-Only Use

Lode CRM is intended for adult users and business use. It is not directed to children, and we do not knowingly design the Services for use by minors.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and, where required, take additional steps to notify users.
